Five years of running this event became Bodoru.

boardgame-rakuichi.com

Events usually stop because of paperwork, not passion.

This is how we started out.

  1. APPLICATIONS

Copying form responses into a spreadsheet and checking for duplicates by eye

  2. RESULTS

Emailing every applicant their result, one at a time

  3. PAYMENT

Reconciling bank transfers against a passbook

  4. PRE-EVENT

Rearranging booth assignments by hand in a drawing tool

  5. EVENT DAY

Running a finger down a printed list at the door on event day

None of it makes the event any better.

Five years of carving it out.

We have run Nagoya Board Game Rakuichi every year since 2022. Something always got stuck. Each time, we turned it into part of the system before the next edition. Visitors grew from around 900 to 1,922, exhibitors from 100 to 190. And still just three of us, with no agency involved.

Along the way we ran our official contest for four years and grew it to three categories, and made a collaboration board game with DRAMATICAL RECORDS, a Nagoya idol agency, which the idols themselves sold out at the venue.

None of it would have happened if we had been buried in admin.

SO WE BUILT

Bodoru is those five years, packaged so other organizers can start from where we ended up.

HOW IT WORKS

Following how an event unfolds

From preparation to the day itself, what you need is where you need it

  1. 01

    Set the venue and dates

Events & Multiple SessionsWHEN IT WAS MANUALRebuild the site for every edition and write schedules and venues by hand. Past editions end up scattered. NOWManage basic info, multiple session days, venues, and the daily program in one place, with past editions kept as an archive.
Venue Map & Booth LayoutWHEN IT WAS MANUALDraw the layout in PowerPoint or Illustrator, redraw it on every change, and hand out an image. NOWBuild the map in a dedicated editor and link booths to areas, so visitors find the booth they want right on the map.

  2. 02

    Build your exhibitor plans

Flexible Plans & PricingWHEN IT WAS MANUALDescribe fees and discounts in prose and handle options case by case, so price edits clash with existing applications. NOWDesign per-day pricing, multi-day discounts, and options; prices are snapshotted at application time, so later changes never affect existing entries.

    Take applications

Exhibitor RegistrationWHEN IT WAS MANUALWrite up guidelines and collect entries with a generic form, managing capacity, deadlines, and full slots all by hand. NOWAccept entries online with set periods, capacity, and result dates; manage per-day slots and close automatically when full.
Custom Application FormsWHEN IT WAS MANUALForce your needs into the fixed fields of a generic form, and changing them breaks consistency with past answers. NOWDesign exactly the fields you need; each answer records the field as it was, so past responses stay intact even after changes.
  4. 04

    Decide results and collect fees

Screening & Online PaymentsWHEN IT WAS MANUALReconcile bank transfers against a passbook and take cash on the day, matching results and payments by hand. NOWChoose prepay, postpay, or no payment, with fincode byGMO card payments synced automatically to application status.

    Assign the booths

Booths & Product ReservationsWHEN IT WAS MANUALCollect exhibitor details over email or LINE and enter them yourself; co-management and product notices are all manual. NOWOnce confirmed, exhibitors edit their own booth page, invite co-managers, and take visitor pre-orders.

    Sell tickets and admit visitors

Tickets & QR EntryWHEN IT WAS MANUALRely on external ticketing or day-of cash and check entry against a list by eye, with queues and duplicate entry hard to prevent. NOWSell online with ticket types, inventory, and sales periods; one QR per person handles check-in and blocks same-day re-entry.

FOR EXHIBITORS

Exhibitors have a smooth experience, too.

The more exhibitors can do on their own, the fewer questions land in your inbox.

  • Co-exhibiting

Teams and partner circles manage one booth together as co-exhibitors.

  • Advance shipping and labels

Shipping procedures and label PDFs are provided on the site.

  • Product reservations

Booths can take reservations for event-day purchases.

FAQ

Frequently asked questions

Payment and contracts

QHow can I pay?
Bank transfer and credit card. Payments are processed by fincode byGMO, provided by GMO EPSILON, Inc.
QIs there anything beyond the listed price?
All prices include consumption tax. No shipping fees apply, as this is a service. If you use online payments, our 2.2% fee and the processor's 3.6% fee (5.8% in total) are deducted from your sales proceeds. No fee applies to free tickets.
QWhen can I start using it?
We open your account within five business days of confirming payment.
QCan I cancel partway through?
Your term runs for one year from the day your account is opened, with no pro-rata charge for signing up mid-month. To cancel, contact us through the enquiry form at least 30 days before your renewal date. A request received later does not affect the upcoming renewal and takes effect at the one after it. Fees already paid are not refunded on a pro-rata basis, and the service remains available until the end of the paid period. Website construction fees are not refundable once production has begun. Refunds are given if we are unable to provide the service through our own fault, or if a duplicate charge occurs. See our commercial transactions notice for the full terms.
QWhat happens if I exceed my plan limit?
Your plan is set by the booth capacity you choose when creating a registration round. Upgrade when you want to set a capacity above your limit. You are never charged extra if actual applications exceed it.
QIs there a limit on how many events I can run?
No. The price is the same however many events you run in a year.
